A lapsed document takes the vehicle off the road
Fleet compliance is unforgiving in a very literal sense: an expired registration or inspection does not degrade service quality, it removes the vehicle from service. A truck that cannot legally roll is a truck earning nothing, and the load it was carrying still needs to move.
The tracking problem scales badly. Every vehicle carries registration, inspection, and insurance dates. Every driver carries a licence, medical certification, and endorsements. Add permits, IFTA filings, and maintenance intervals, and a fleet of fifty vehicles with sixty drivers is several hundred independent dates, many of them on staggered cycles because vehicles were acquired at different times.
Enforcement is also external and unscheduled. A roadside inspection does not wait until your paperwork is in order, and violations attach to your safety record rather than simply costing a fine. Preventing lapses is considerably cheaper than remediating them.
Sound familiar?
- A vehicle registration lapses and a truck can't roll
- DOT inspection deadlines are missed and trigger violations
- Driver certifications expire without a heads-up
- Fleet insurance renewals are tracked in a fragile spreadsheet
Built for fleet and driver compliance
Vehicles and drivers in one system
Registrations, inspections, licences, and medical certifications tracked together rather than across separate systems.
Remind drivers directly
Assign licence and medical certification records to the driver so renewal reminders reach them personally.
Recurring inspection cycles
Mark an inspection complete and the next due date advances automatically, so annual and periodic cycles never need re-entering.
Documents attached to the record
Store registration documents, inspection reports, and insurance certificates with the item they belong to.
Custom fields for unit and VIN detail
Record unit numbers, VINs, plate numbers, and terminals as structured fields for fast lookup.
Escalation on overdue items
Notify a fleet manager automatically when a document passes its date, before a vehicle is dispatched non-compliant.
Every document that keeps a vehicle moving
- Vehicle registrations
- Annual registrations per unit, often staggered across the fleet by acquisition date.
- DOT and periodic inspections
- Mandated inspection intervals per vehicle, with the inspection report attached to the record.
- Driver licences and endorsements
- CDL and endorsement expiry per driver, including hazmat and specialised endorsements.
- Driver medical certifications
- Medical examiner certificates that expire independently of the licence itself.
- Fleet insurance
- Liability, cargo, and auto coverage that must remain continuously in force across the fleet.
- Permits and filings
- IFTA, IRP, oversize permits, and operating authorities with their own renewal cycles.

Frequently asked questions
Can we track both vehicles and drivers?
Yes. Both are tracked as items in the same dashboard, categorised so you can filter to vehicles, drivers, or a specific terminal. Custom fields let vehicle records carry unit numbers and VINs while driver records carry licence numbers and endorsement details.
How do staggered renewal dates work?
Each item carries its own expiry date and renewal cycle, so vehicles acquired at different times simply have different dates. The dashboard sorts by urgency, showing whatever is overdue or expiring soonest first regardless of how staggered the fleet is.
Can drivers be reminded about their own licences and medicals?
Yes. Add the driver's email to the record and reminders are sent to them directly alongside the fleet office. Medical certifications in particular benefit from this, since they expire independently of the licence and are easy for a driver to overlook.
What happens when an inspection is completed?
Mark the item renewed and the next due date advances automatically according to its cycle — typically annual for DOT inspections. You never re-enter a recurring date, and the audit trail records who completed it and when.
Can we store inspection reports and registrations?
Yes. Documents can be attached to any item and are stored privately, retrievable through short-lived signed links. During a roadside or compliance review the current document is attached to the record showing its status.
Can we import our existing fleet list?
Yes. Import a CSV of your current spreadsheet — common headings such as name, category, expiry date, cycle, and owner are matched automatically, so most fleet tracking spreadsheets import without reformatting.
