How to track employee certification expiry

Short answer

Track certifications against the person, not the job, and record the awarding body, certificate number, expiry date and the employee's own email. Remind the employee first at 30 days, the manager at 7, and treat an expired certification as a scheduling constraint rather than an admin note — because in most regulated work, the person cannot legally do the task.

Track against people, not roles

Certifications belong to individuals and move with them. A register organised by role — "forklift operators" — breaks the moment someone changes team, covers a shift, or leaves, because the certificate walks out with them and the row stays behind.

Recording against the person also makes the useful question answerable: who is currently qualified to do this today?

What to record

Employee name, certification type, awarding body, certificate number, issue date, expiry date, and the employee's email. The awarding body matters more than it looks — renewal routes differ, and a certificate from one provider is not always accepted where another is.

Keep a copy of the certificate itself. When an auditor or client asks, a date in a system is an assertion; the document is evidence.

Who gets told, and when

The employee at thirty days — they are the one who books the course. The manager at seven, because by then it needs to appear in a rota decision. An escalation once overdue, to whoever is accountable for the work not happening.

Reminding only the office administrator is the common mistake. The administrator cannot sit the exam.

Plan for the renewal taking time

A first-aid requalification might be a day. A CPD-based professional licence can take weeks and require evidence gathered over months. Set your notice period from the longest renewal route in your register, not the average — the average is what produces the rushed ones.

How far ahead should I remind staff about certification renewal?
Thirty days for short courses, ninety for anything requiring assessment, coursework or accumulated CPD. Set it from the slowest renewal in your register rather than the typical one.
Who should own the certification register?
One named person for accuracy, but the reminders should reach employees directly. Registers owned by a single person and visible to nobody else go stale during leave without anyone noticing.
What if someone's certification expires while they are rostered?
In most regulated work they cannot perform the task, so it becomes a scheduling problem rather than a paperwork one. Tracking it early is cheaper than finding a replacement at short notice.
